Understanding the concept of
Stocktake
- The key
to the Stocktake System is the ‘Last Seen’ date field found in the Materials
Editor. The "Last seen" field is updated with the computers date whenever
it is processed in the circulation module in:

1.
Stocktake Mode, or

2.
Return Items Mode, or
-
3.
Lend Items Mode

- It is also updated whenever a stocktake
import is run from a stand alone stocktake module.

- Thus
the date setting on the computers being used for the stocktake is very
important!

- There
are two separate stocktake methods that can be used:

1.
Networked: The circulation
module (circulating in stocktake mode)
-
2.
Not networked: Any computer
(portable or stand-alone) running the stand-alone

BASIC STEPS
STEP 1 involves scanning all the items
that you wish to take stock of. This may be the entire library or just one
collection. (ie Fiction). Take note of the date when you start
your stocktake (This is important for Step 2)
STEP 2 involves analysing your data (in
Materials Editor) to see which items were not seen during the stocktake. This is
where you mark all the items in the areas that you have taken stock of and then
run the "Unmark for Stocktake" option. For the FAQ on how to analyse your
